Payment plans and instalments

The payment plan sets when your customer pays how much: everything at once, deposit and balance, or several instalments. You set your default under Bookings → Settings → Payment & Stripe; in each quote you adapt it for this booking.

The plan editor

A payment plan has 1 to 6 instalments. Each instalment has:

  • Label – leave it empty to get “Deposit”, “Instalment 2” or “Balance payment”,
  • Share – in percent or as a fixed amount,
  • Due – when the instalment falls due (see below).

The last instalment is always the remaining balance. Add instalment inserts an instalment before the balance, × removes it.

Ready-made templates

One click fills the editor:

TemplateInstalments
Immediately, no depositThe whole amount on acceptance.
Net 14 daysThe whole amount 14 days after acceptance.
Deposit + balance30% on acceptance, the rest 14 days before the event.
3 instalments30% on acceptance, 40% 30 days before the event, the rest 7 days before the event.
4 monthly instalments25% each on acceptance and 1, 2 and 3 months later – even beyond the event.

Afterwards you change shares and due dates as needed.

Due dates

months after acceptanceThe chosen number of months after acceptance – for monthly instalments.
days before the eventThe chosen number of days before the date.
on the event dayOn the day of the event.
days after the eventThe chosen number of days after the date.

At most 365 days, and the instalments must be in chronological order. If an instalment depends on the event date, the request needs a date.

Your own templates

Below the editor you enter a Template name and click Save as template. Your templates then appear as buttons of their own next to the ready-made ones – in the quote and in the settings. You can delete a template under Settings → Payment & Stripe with × next to its name. Up to 12 templates of your own are possible.

Template per package

If a package has its own schedule – for example monthly instalments for big weddings – you choose one of your templates in the package dialog (Offering → Packages & extras) under Payment plan for this package. New quotes for this package start with this plan, all others with the Default payment plan from the settings. The field appears as soon as you have saved at least one template of your own.

Paying and automatic collection

The customer portal shows the payment plan with each instalment, its due date and its status. For every due date the customer gets a reminder with a payment link. With Collect the remaining balance automatically under Payment & Stripe, Stripe saves the payment method with the deposit, and the daily run collects each further instalment with it on the due date – see Online payment with Stripe.

In the request you see each instalment with due date and status under Payments & instalments (paid, open, overdue). Every incoming payment creates a deposit invoice; after the event the final invoice follows – see Quotes, invoices and documents.

Customer chooses: instalments or everything at once

In the invoice details there is the checkbox Customers may pay everything at once instead of in instalments. If it is ticked, the customer chooses in the customer portal when paying:

  • By payment plan – the instalment that is due now, the rest per plan (with automatic collection, if switched on)
  • All at once – the full outstanding amount immediately

The customer pays a deposit in both cases. The checkbox is off by default.
