Online payment with Stripe

Your customers can pay the deposit and the remaining balance directly in the customer portal. To do this, you connect your own Stripe account. The money goes directly to you; BoothDock charges no fee, Stripe's fees apply. Without Stripe the booking module works just the same – then by bank transfer.

Connect Stripe

“Online payment with Stripe” under Settings › Payment & Stripe
“Online payment with Stripe” under Settings › Payment & Stripe
  1. Under Bookings → Settings → Company & tax, first set your Country and save. Stripe itself is under Payment & Stripe. The Stripe account is created for this country; this cannot be changed later.
  2. In the Online payment with Stripe card, click Connect Stripe.
  3. Stripe asks for your company and bank details. This is a contract between you and Stripe.
  4. Afterwards you return to the Hub.

If you already have a Stripe account, click Link existing Stripe account instead and sign in to Stripe. Payments then go directly to that account.

How your customer pays

In the customer portal the customer clicks Pay now and lands on Stripe's payment page. There they pay by card or with the payment methods of their country, for example SEPA Direct Debit, iDEAL, Bancontact, TWINT or Apple Pay. Which payment methods appear depends on your country and the settings in your Stripe account.

After payment:

  • the payment appears in the request under Payments as Received,
  • the deposit invoice is created automatically and sent to the customer,
  • you get an e-mail “Payment received”.

Some payment methods, such as SEPA Direct Debit, take a few days. Until Stripe confirms the payment, it shows Processing. If a payment fails, the customer gets a new payment link, and you get an e-mail.

Security deposit online

If the booking has a security deposit, the customer pays it with Pay now in the same payment as the instalment that is due – usually together with the deposit payment. If no instalment is due, they pay only the deposit. The deposit then shows received in the request; no invoice is created for it, because it is not revenue.

After the event you click Fully refunded or Retain part in the Security deposit block. BoothDock then refunds the amount via Stripe to the customer's card. More under Packages: duration, special price, deposit and travel costs.

Collect the remaining balance automatically

Under Settings → Payment & Stripe there is the option Collect the remaining balance automatically:

  • On: Stripe saves the payment method with the deposit. On each further due date, the daily run collects the instalment with it. Payment methods that cannot be saved are then not offered on the payment page.
  • Off (default): On the due date the customer gets a reminder with a payment link and chooses the payment method again – all payment methods remain available.

If you switch on automatic collection, tell your customers the amount and date, for example in the Closing text of the quote.

Reminders

If an instalment is due and still outstanding, the daily run sends the customer a reminder with a payment link – at most once a day, until it is paid. You set when each instalment is due in the Payment plan (see Payment plans and instalments).

Bank transfer and cash payment

Your Bank details appear in the customer portal and on the invoices, with the document number as payment reference. If Stripe is active, the customer sees both: Pay now and below it “Or by bank transfer:”.

Very small amounts cannot be paid online; bank transfer remains for those. When a bank transfer or cash payment comes in, enter it in the request under Record payment manually. As with Stripe, this creates the document.
